Overview

POSITION SUMMARY

The Lead Recruiting Associate is a part of the Human Resources Support Team under the supervision of the HR Supervisor. The overall responsibility of the Lead is to take lead on daily Recruiting Associate tasks, provide guidance and support to Recruiting Associate team members and to ensure that all offers of employment and onboarding of candidates occurs within a strict deadline and according to FREE’s policies and procedures, as well as State and Federal Laws and regulations. The Lead is the subject matter expert for the onboarding process and related tasks.

Responsibilities

DUTIES, RESPONSIBILITIES, AND ESSENTIAL FUNCTIONS

Performs all the functions of Recruiting Associate:

  • Processes and extends employment offers.
  • Schedules collection appointments and collects all required pre-employment documentation.
  • Manages onboarding process by tracking applicant onboard activity using ATS and by guiding candidates through onboarding process using different means of communication.
  • Communicates regularly with Recruiting and HR Supervisor regarding the progress of candidates from offer to Orientation, including but not limited to reporting when candidates fail background checks and accept/reject offers.
  • Communicates with Operations regarding initials and candidates to ensure efficient, smooth and quick turnaround of New Hire paperwork.
  • Ensures all new hire background checks are completed prior to the start date. Background checks include, but are not limited to Department of Motor Vehicles (DMV LENS), Office of Medicaid Inspector General (OMIG), Mental Hygiene Law (MHL), Criminal Background Check (CBC), Statewide Central Registry (SCR), and Staff Exclusion List (SEL).
  • Requests and ensures candidates submit references prior to the Orientation.
  • Provides New Hire information to IT and HRIS Team for employee credentials to be created.
  • Responsible for maintaining New Hire paperwork.
  • Assists with internal/external audits and surveys as needed.
  • Possesses full knowledge of the complete onboarding process, including all required background checks and other pre-employment requirements.
  • Ensures that all required documentation (paper and electronic) is completed/processed appropriately, in a timely manner, and meets quality and compliance thresholds.
  • Performs other duties as assigned.

In addition, takes lead and trains Recruiting Associates on the below:

  • Conducts weekly audit of New Hire paperwork to ensure all New Hires for the upcoming orientation have all the needed background checks, I-9 documents, relevant education and licensure and other role/candidate specific documentation on file.
  • Runs all necessary background checks for non-employees: Brokers, Temp RNs, and others as needed.
  • Reviews and sends out New Hire Spreadsheet to all relevant parties.
  • Schedules CHRC fingerprinting for Children's program.
  • Follows-up until resolution on issues related to any employment related clearance, including but not limited to I-9, E-Verify, CBC.
  • Communicates with IdentoGO when scheduling difficulties arise.
  • Processes SCR Payments.
  • Monitors and submits AARMs.
  • Submits Terms for new hires that fail to attend orientation.

Qualifications

QUALIFICATIONS

  • Education:
    • High School Diploma or equivalent required
    • College Degree preferred
  • Experience:
    • At least 6 months of relevant experience in Human Resources
  • Specialized Training, Licenses, Certifications:
    • Not required, training will be provided upon hire as needed
  • Knowledge, Skills, Competencies, and Abilities:
    • Proficient computer skills required, especially Microsoft Office Suite
    • Proficient writing skills with grasp of basic grammar and spelling
    • Must be efficient, well organized, and have excellent communication skills
    • Basic understanding of federal and state laws and regulations related to employment
    • Ability to work in a team environment with flexibility, keeping others informed and anticipating needs is essential
    • Ability to work independently and take initiative
    • Ability to prioritize assignments and perform problem solving consistent with the level of independence associated with this position
    • Ability to work on several projects simultaneously and follow up as needed to complete the assigned projects within time constraints
    • Strong organizational skills and detail orientation, with troubleshooting and problem-solving skills to manage multiple competing time-sensitive priorities
  • Other Requirements:
    • Comfortable working in a fast-paced environment

 

WORK ENVIRONMENT

This role is performed in-person in a standard office setting.

PHYSICAL REQUIREMENTS

  • Employee is required to sit, walk and stand for prolonged period of time (at least 8 hours).
  • Employee is required to effectively communicate both verbally and in writing.
  • Employee is required to operate standard office equipment such as computers, phones, photocopiers, fax and filing cabinets.
