  • Overview

    Under the supervision of the Senior Vice President, the Executive Administrative Assistant performs complex tasks of an administrative nature. The Executive Administrative Assistant completes routine administrative work related to the function of the Department, its employees and individuals supported. This position requires the ability to prioritize assignments, complete them in a timely and accurate manner, do problem-solving, exercise good judgment, be collaborative and function in the position with minimum direction.

    Responsibilities

    •  Draft correspondence, memoranda, etc. for the Senior Vice President (SVP) and other members of the Administrative team.
    • Attend outside conferences and meetings, take minutes and advise the SVP and/or her designee.
    • Attend, take, transcribe and distribute minutes for Divisional meetings; Administrative meetings; Board Meetings and any other meetings as assigned by the SVP.
    • Monitor follow-up of any open agenda items from meetings.
    • Attend community meetings as designated by the SVP.
    • Maintain the calendar of the SVP and other members of the Division.
    • Manage the mail of the SVP.
    • Take lead with projects within the division such as, training tracking
    • Complete monthly Excel queries
    • Distribute the track as necessary mail, internal reports and memos.
    • Mediating Emergency situations in the absence of the SVP and directing them to the appropriate parties
    • Providing coverage at the front desk as requested
    • Being the direct contact for all potential candidates for vacant Management positions and arranging panel interviews for all viable candidates
    • Flexible with the schedule to accommodate the needs of the division and the individuals we support.
    • Gathering all mandatory monthly trainings from the programs and coordinating external trainings for interested team members.
    • Able to prioritize assignments and perform problem solving consistent with the level of independence needed for the position.

    Qualifications

    • High School diploma or equivalent
    • Strong computer skills - proficient in Microsoft Word, Excel, Outlook and PowerPoint
    • Must be a team player and willing to work collaboratively with others
    • Must be able to prioritize, multitask and handle a fast-paced, dynamic environment
